Job Summary Under the direction of the UCSF Real Estate Communications Manager, the Communications Specialist will plan and produce communications within a comprehensive communications program to inform impacted stakeholders and the UCSF community of a 10-year, $13 billion capital program for UCSF Real Estate Health and Campus Design & Construction. This position will be working independently to ensure creation and effective dissemination of information, including but not limited to, construction impact messages (CIMs), emails, newsletters, website content, social media posts, project signage, and flyers, for both internal and external audiences, fostering awareness and understanding of ongoing construction activities and their impacts. The Communications Specialist will need to have a deep understanding of UCSF's long-range development plan, the capital projects which are currently under development, and the capital projects underway in UCSF's surrounding communities. They will need to understand existing internal communications channels and identify ways to improve internal communications by adding to or refining existing options in collaboration with the enterprise Internal Communications function within the UCSF Office of Communications, as well as with Community and Government Relations, quickly and thoroughly. As such, the Capital Program's Communications Plan will leverage use of UCSF's existing communications vehicles and opportunities and assess what additional resources may be required to contribute to the programs' overall successes and effectiveness. The Communications Specialist will also work directly with capital project delivery teams to understand all aspects of a projects status that is newsworthy and may impact campus and community stakeholders to craft broad and detailed project specific notices, status updates, press releases, project profiles, announcements, project signage and general communication related to new, ongoing and completed projects. Reviews award and presentation requests for compliance with all UCSF branding and policy requirements. Works closely with Campus Logistics team to develop and update campus specific construction impact communications that are shared with multiple stakeholder channels targeting key constituents. This role will support UCSF Benioff Children's Hospital Oakland (BCH Oakland) modernization projects (50%) and be required onsite up to three days a week at the BCH Oakland campus. It is essential for this role to have key interfaces with other roles, departments, systems and external entities, including the City of Oakland, UCSF Health, the UCSF Office of Communications, UCSF Community Government Relations (CGR), BCH Oakland Communications and Facilities Services, UCSF Real Estate project teams, and community members. All External UCSF communications regarding campus planning or construction issues will be exclusively handled through Community and Government Relations, with strategic counsel from the Office of Communications' strategic communications function, in coordination with the Real Estate Communications Manager; and all work on press releases will be done in partnership with the Public Affairs unit within the Office of Communications. The final salary and offer components are subject to additional approvals based on UC policy. Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement. Key responsibilities include a unified approach to oversee the active UCSF growth planned on a multi-site campus and to manage the complex metropolitan environments affecting capitalassets andprojects and efforts to align municipal challenges with maximum effectiveness in support of the UCSF mission. UCSF Real Estate is an integrated unit that enables the alignment of development, planning, design, construction, and management of facilities and a lease portfolio of 1M square feet across UCSF. Services are provided through the following departments: Building Permit Services, Campus Design and Construction, Campus Planning, Construction Contract Administration, Health Design and Construction, Health Major Capital Projects, Real Estate Services, Benioff Children's Hospital Oakland Capital Program Management and support through Business Intelligence, and Finance, Administration and Operations. Finance, Administration & Operations is a cross-functional team that provides support to the advancement of UCSF Real Estate's strategic goals and long-term plans by providing value-added expertise and guidance in all operations. The team provides support for all UCSF Real Estate functions in the areas of fiscal management, budgeting & reporting, human resources, operations, administration, talent management, communications, organizational development, procurement, and capital project delivery and work collaboratively across the department to ensure operations are performed to the highest standards of customer service, accountability, and efficiency. The combined UCSF Campus and Health organizations include approximately 198 UCSF and 38 contract personnel; operating/recharge budgets of more than $52.2M per year; current year capital project expenditures of $900M; and oversight and responsibility for > $13.3B long-range capital development. Required Qualifications Bachelor's degree in related area and 5-10 years relevant experience and / or equivalent experience / training. Minimum of five years experience working as a communications professional in an organization of comparable size. Training or proven knowledge and implementation of basic project management principles and practices. Advanced knowledge and understanding of all aspects of communications, including strategic planning for various media venues, technical aspects and requirements of various venues, and most appropriate and effective applications. Advanced knowledge and understanding of technical applications to direct professional technical staff, or personally perform technical work, including design concepts, various media, and applications. Advanced skills to create, develop, and implement long and short term strategic communication plans. Advanced skills to advise and consult management on all aspects of communications, ranging from developing effective communication strategies to appropriately responding to inquiries regarding sensitive or complex issues or information. Excellent written, verbal, interpersonal communications, active listening and political acumen skills. Excellent analytical, critical thinking, project management, and problem recognition, avoidance, and resolution skills. Thorough knowledge of location protocols and channels for communication internally and externally. Proficiency in PowerPoint, Microsoft Word, Microsoft Outlook, social media platforms. Broad Knowledge of Real Estate, Planning, Capital Planning, Capital Projects (Design and Construction) and Sustainability in a Large Institutional Organization Demonstrated skills at accurately converting technical project information related to planning, design and construction activities into easily consumable and meaningful information for various target audiences with limited planning, design and construction knowledge or vernacular. Preferred Qualifications Minimum of two years experience in internal communications, change management and/or human relations. Advanced knowledge of the organization, including its mission, vision, goals, policies, and infrastructure; strong knowledge of current affairs and issues in higher education and / or health sciences.
